Description
The Canadian Museum of Immigration at Pier 21 is Canada’s sixth national museum. Our mission is to share the ongoing story of immigration to Canada—past to present and coast to coast to coast. The Museum is located in the Pier 21 national historic site at the Halifax seaport where nearly one million immigrants landed in Canada from 1928 to 1971.
We have an opening for role of Special Events and Pier 21 Club Manager. This is a full time and permanent role and will be located on site at the Museum in Halifax, Nova Scotia.

Reporting to the Director of Planned and Annual Giving, you will work with the Development team to increase donor engagement, maximize annual fundraising revenues and achieve fund development revenue goals. Philanthropy plays a pivotal role to the financial stability of the Museum and in advancing its mission. The Development team must raise approximately $1.5m annually to help fund the Museum’s public and educational programming, exhibitions, and access to its collection.
A skilled, organized and goal-oriented fundraiser who loves event planning and is an excellent communicator and relationship builder, you will be responsible for managing the Museum’s Fascinating Canadian series fundraisers, outreach events and the Pier 21 Club leadership giving circle.
You will work collaboratively with the Development team to increase donor engagement and support the implementation of the Museum’s strategic plan and corporate goal objectives as it relates to fund development.
Essential Position Functions
Special Events Management
- Manages the successful planning and execution of the Museum’s Halifax and Toronto Fascinating Canadian series fundraising luncheons, outreach events in Toronto and Montreal, and Pier 21 Club cultivation and stewardship events
- Responsible for meeting event sponsorship and patron sales goals through donor prospect research, identification, cultivation, solicitation, stewardship and recognition
- Recruits, manages, stewards and builds strong relationships with volunteers to chair and serve on the Fascinating Canadian series and Pier 21 Club committees
- Prepare special event sponsorship proposals, letters of requests, invites and other solicitation and stewardship documents and communications
- Identify and implement sponsorship benefits
- Builds strong working relationships with event partners who help in the successful delivery of all events
- Assess the resources required to hold special events and determines the most suitable internal and external suppliers
- Ensures events follow all necessary rules of protocol, Official Languages Act obligations and other federal government standards
Pier 21 Club and Donor Relations
- Responsible for managing the Pier 21 Club mid-level donor program and related activities to ensure its success and that it meets fund development goals through donor prospect research, identification, cultivation, solicitation, stewardship and recognition
- Prepare Pier 21 Club appeals, special invites, impact reports, updates and other solicitation, cultivation and stewardship documents and communications
- Work collaboratively with the Development team to maximize annual fundraising revenues, increase donor engagement and move event patrons, sponsors and Pier 21 club donors up the donor pyramid as appropriate
Marketing and Promotion
- Consult and work with the External Relations team to develop special event and Pier 21 Club fundraising materials and communications and digital content as needed.
- Raise awareness of the Museum’s special event fundraisers and the Pier 21 Club among staff, volunteers and key stakeholders to foster a culture of philanthropy
Administration
- Participate in the planning of the annual fundraising budget and preparation of quarterly reports
- Prepare and manage special event and Pier 21 Club budgets, produce required reporting and updates, and ensure timely submission of expense quotes/invoices for authorization
- Manages all records of special events and Pier 21 Club gifts in Blackbaud NXT
- Ensure key special event stakeholders and Pier 21 Club members are added to the Museum’s master invite contact list
- Ensure that the Museum is fully accountable for the funds it raises and that expenditures are in accordance with industry standards and practices
Risk Management
- Understands and mitigates key elements of the Museum’s risk profile
- Maintains high level of discretion and ensures the protection of private donor information against unauthorized use and disclosure
- Reports risk issues to the Director of Annual and Planned Giving
Education, Knowledge & Experience
Skills and Qualifications – Required
- Post-secondary education in related field
- 5+ years of experience in fundraising and donor relations
- Demonstrated experience in special events and/or donor clubs
- Demonstrated experience in managing, motivating and mentoring volunteers and committees
- Proven experience in preparing and implementing successful requests for support, preferably sponsorship proposals with varied levels of support and benefits
- Knowledge of the donor pyramid and the different stages of donor engagement from one time gifts to planned giving
- Demonstrated experience developing strong relationships with staff, volunteers and donors
- Demonstrated experience in balancing multiple events concurrently
- Strong project management skills, including the ability to plan ahead, set fundraising goals and to establish an internal system for meeting deadlines, budgets, tracking milestones, follow-up, monitoring, and reporting progress
- Knowledge of budgetary planning and financial management skills
- Flexible attitude with proven experience working independently
- Knowledge of CRA rules and regulations as they pertain to fundraising
- Proficient in Microsoft Office suite and Blackbaud NXT or a similar fund accounting software
Skills and Qualifications – Desired
- Experience working in a fast-paced, complex private/public multi-stakeholder environment
- The ability to communicate in both official languages, oral and written, is an asset
- CFRE designation or equivalent
- A connection to immigration and appreciation for the contributions of newcomers to our country’s culture, economy and way of life

Working Conditions & Physical Demands
- Work is in an office environment
- Expected to be available to work irregular hours as required
- Limited travel may be required
The salary range for this role is: $62,339 to $81,042.
Compensation for this position is commensurate with experience and includes a comprehensive benefit package, including the public service pension plan.
